Under the direction of the Strategic Support Manager, provides complex and confidential administrative support for the Systems Engineering Department, including scheduling of multiple executive leadership staff, tracking and following up on projects, processing invoices and expense reports, drafting presentations, preparing for public meetings, writing correspondence, and providing customer service for various requests.
Work is performed with broad latitude for the exercising of initiative and independent judgment.

Coordinates calendaring for the Systems Engineering Director, Assistant Systems Engineering Director and Strategic Support Manager, including scheduling for team meetings, and agenda planning calendars by coordinating with the Systems Engineering team and following up on agendas.
Provides general support for Systems Engineering Director, Assistant Systems Engineering Director and Strategic Support Manager, including correspondence, phone inquiries, scheduling, file management, messaging, meeting preparation, and follow up.
Drafts reports, memos, letters, presentations, and agenda items.
Effectively organizes and prioritizes multiple assignments using effective time management.
Uploads Council items to Peak Agenda, including cover sheet and attachments, creates PowerPoint presentations, and assists with public hearing notices as necessary.
Manages project files in accordance with internal procedures and state library records retention schedules.
Provides administrative support for the department's budget, including procurement, processing of invoices, receipts, travel requests and expense reports, credit card verifications, and performs other financial administration duties.
Provides administrative support for all Systems Engineering divisions as needed.
Responds to inquiries and concerns from the public, scheduling time for phone calls and in person meetings to ensure timely follow-up.
Will serve as staff liaison for various boards, commissions or corporations, essential functions include, preparing meeting materials; coordinating, preparing and posting all agendas according to the Open Meetings Act; preparing minutes for approval; serves as Secretary of Record maintaining official, accurate records and minutes of meetings and actions; coordinates board actions for City Council meetings; prepares packet for actions moving to City Council; coordinates communicating between Staff and Board members; composes, drafts and edits correspondence.

MINIMUM
Qualifications:
Education, Training and Experience Guidelines High School or GED, with some college preferred.
Five (5) years of full-time progressively responsible experience in office administration.
Knowledge of municipal operations is highly desirable.
Any combination of experience or education may substitute for the minimum qualifications.
Knowledge of:
Office procedures and records management City operations, personnel policies and procedures, City charter, City ordinances, policies and procedures.
Skill in:
Supporting various priorities, schedules and tasks while providing excellent customer service.
Working closely with executive staff and other employees, City's Boards and Commissions, other public and private sector entities and the general public.
Microsoft Office, including Outlook, PowerPoint, Excel and Word.
Writing and preparing a variety of reports, correspondence, and special studies.
Using best practices for office and records administration.
Being flexible in a demanding and rapidly changing environment.
Maintaining confidentiality of information pertinent to City business.
Assessing situations and making prompt, safe, and efficient decisions with regard to task priority and effective solutions.
Interpreting administrative polices.
Prioritizing, tracking, and managing multiple projects, assignments and duties LICENSES AND CERTIFICATION REQUIREMENTS Valid Class 'C' Texas driver's license.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT Standing, sitting, walking, lifting, carrying, pushing, pulling, reaching, handling, fine dexterity, crouching, bending, vision, hearing, talking, and use of foot controls.
